Homes and Businesses Outside Our Service Area Aren’t a Fit
A/C system repair means we need to get back to your house if something needs another look. That’s why we have that 60-mile line. Itβs not about your address being less important. It’s about drive time, getting parts, and warranty follow-up. It needs to stay realistic for the technician who did the work.
We’re based in Sunnyvale, Texas, right off U.S. 80. We cover Sunnyvale and the greater Dallas-Fort Worth Metroplex. This includes Dallas, Fort Worth, Plano, Frisco, Allen, Irving, Carrollton, and all the communities around them. If you’re inside that footprint, our A/C system repair page shows you what a typical repair call looks like. That’s from the first phone call to the finished job.
- Sunnyvale, Dallas, and Fort Worth
- Plano, Frisco, and Allen
- Irving and Carrollton
- The towns and unincorporated areas between them. Generally, that’s within a 60-mile radius.
If a homeowner or business calls from well outside that radius, we’ll say no on the phone. We don’t want to take a job and then not be able to stand behind it the way we do closer to home. A capacitor swap or a coil cleaning only matters if the technician can come back for a warranty visit. Sending a truck two hours out for a same-day call isn’t something we promise. So we don’t pretend it is.
Requests to Skip Permits or Code Aren’t a Fit
If you want A/C system repair done without a permit, without an inspection, or off the books- to save time or money-we’re not the right call. Every job we do is to code. Licensed technicians handle it. We pull proper permits and inspections when the work needs them. We don’t bend that policy for anyone.
Most single-part repairs don’t need a permit. That’s for things like a bad capacitor, a failed contactor, or a clogged drain line. But if a job touches the electrical circuit feeding the outdoor unit, replaces a condenser, or involves refrigerant line work, permit and inspection rules can apply. It depends on whether the property is on the Dallas County or Kaufman County side. We follow those rules.
We’ll politely decline if you ask us to install a customer-supplied condenser without inspection. We also won’t wire around a permit requirement. And we won’t finish a job someone else started without paperwork. This does mean we turn away calls. We back our workmanship warranty on what we install. That only works if the job was done to code from the start.
For a plain walk-through of what a standard visit covers, check our A/C System Repair in Sunnyvale | Xtreme Air Services page. It lays out each step, from diagnosis to finished repair.
If you’re comparing a quote that skips a permit with one that doesn’t, ask the installer directly. Will the work pass inspection later? This is especially important if you plan to sell the home. A repair done without required permits can cause problems during a future real estate inspection. It’s not just an HVAC one.
Labor-Only Installs of Equipment Bought Elsewhere Generally Aren’t a Fit
If you’ve already bought a condenser, coil, or a full AC system somewhere else and just want us to hook it up, we usually won’t take that job. Itβs not about the brand you picked. It comes down to what we can stand behind once we’re done.

Our workmanship warranty covers the labor we do. That warranty holds up when we source the equipment ourselves. We verify it’s the right match for your home. We also confirm it’s not damaged, mismatched, or missing parts before installing it. When a customer supplies the equipment, we lose that control. We didn’t check how it was stored. We didn’t check if the refrigerant charge specs match the coil. We didn’t see if the sizing was calculated for your home. Installing it anyway, and then guaranteeing the labor, puts us on the hook for equipment we didn’t choose.
We see this most with online marketplace purchases and units from private sales. A condenser that looks fine in photos can be the wrong tonnage for the ductwork. It might be missing a warranty registration. Or it could be the wrong match for the coil already in the attic. Mismatched components are a common reason a new AC system underperforms or trips breakers. This happens within the first season. Once installed, that’s harder to fix than it would have been to catch early.
This is different from a straightforward A/C system repair on equipment you already own. If your existing system needs a part replaced, that’s what we do every day. We stand behind that work the same way. We specifically draw the line at installing new equipment a customer sourced themselves.
If you’re weighing a repair against new equipment, our repair and replacement page shows how we make that call. It also covers what it typically costs.
If new equipment is what you need, we’d rather quote and supply the unit ourselves. This way, the warranty means something. If a component fails later, you won’t be stuck figuring out who is responsible.

Automotive A/C, Rental Disputes, and Repair-or-Replace Calls Aren’t Simple Yes/No Cases
Car and truck air conditioning is a different trade. It uses different tools and parts. We work on AC systems that cool homes and businesses. If your vehicle’s AC stopped blowing cold, you’ll want a shop specializing in automotive repair. Sending you there first saves you a wasted visit.
Rental properties can bring different complications. If you’re a tenant and your landlord hasn’t approved the repair, we can’t move forward with the work. We’re happy to come out and diagnose the system. But who authorizes and pays for the repair is between you and your landlord. We’ll give the property owner or manager a written quote if they want one. But sorting out responsibilities is not something a repair visit can settle.
Repair-or-replace is another area where a simple yes or no isn’t enough. We get asked this often before someone even books a visit. The answer is, it depends on what the technician finds. A ten-year-old system with a failed capacitor is usually a straightforward repair. The same system with a failed compressor is a different conversation. The cost of that one part can start to close the gap with a new unit. Equipment age, the failed part, and how the rest of the system is holding up all play a role. That’s a call we make after the diagnostic, not before.
If your system needs a full evaluation instead of a single repair, our A/C system repair page explains what the visit covers. It also outlines what shapes the recommendation.
None of this means we’re trying to talk you out of calling. It’s the opposite. If we’re not the right fit for the job you have, we’d rather tell you now. That’s better than having you wait on a truck that can’t solve the problem.
What We’d Suggest If One of These Applies to You
None of this means you’re out of options. It just means your next call should go somewhere else. We’d rather tell you that now than after a technician has driven to your address.
- If your property is outside the Sunnyvale and DFW Metroplex radius we cover, find a licensed HVAC contractor closer to you. A local shop can get back out for follow-up without a long drive. That matters more than most homeowners realize until they need a second trip.
- If you want work done without a permit or outside code, most licensed contractors in Texas will tell you the same thing we do. A technician who skips required permits can leave you holding the liability. That happens if an inspector or insurance adjuster looks at the system later.
- If you’ve already bought a condenser, coil, or other equipment and just need someone to set it in place, find a contractor who offers labor-only installation. We install what we can verify and stand behind. So we don’t take on equipment we didn’t source ourselves.
In each case, a phone call before a truck rolls is the move. Tell whoever answers what you’re working with and what you need. A licensed contractor should be able to say within a few minutes if the job fits what they do, just like we would.
If none of these apply, and you’re trying to figure out if your system needs a repair, that’s a different question. It’s worth reading what a typical A/C system repair involves before you call anyone.
Frequently Asked Questions
Common questions about A/C system repair
When is A/C system repair not the right call for us to take on?
We turn down a job when it falls outside roughly 60 miles of Sunnyvale, Texas, when someone wants work done without a required permit or inspection, or when the equipment was bought elsewhere and we’re asked to just hook it up. We also don’t work on vehicle air conditioning, since that’s a different trade with different tools and parts. Each of these limits comes down to whether we can stand behind the work afterward.
Who should call somewhere else instead of us?
Anyone outside our roughly 60-mile service radius, anyone who wants to skip a permit or inspection that the job requires, and anyone with vehicle air conditioning problems should look elsewhere. We also can’t move forward on a rental repair until the landlord or property manager has authorized it. These aren’t judgments about the customer. They’re about drive time, warranty follow-up, and who has the authority to approve the work.
What should I do if my situation isn’t a fit for you?
It depends on why. If you’re outside our service area, look for a licensed HVAC contractor closer to your address. If your car’s AC is the issue, an automotive shop is the right call, not us. If you’re a tenant, get your landlord’s approval first, and we’re glad to send them a written quote once they’re on board. If you already bought equipment, we’d rather quote and supply the unit ourselves so the labor warranty holds up.
Why won’t a rental tenant’s request move forward without landlord approval?
Because who authorizes and pays for a repair on a rental is between the tenant and the landlord, not something we can decide for you. We can still come out and diagnose the system for a tenant. But we won’t start the actual repair until the property owner or manager signs off. If they want documentation first, we’ll provide a written quote so they can make that call.
